Title Companies need a reliable way to submit signing requests, provide instructions, upload documents, communicate with the assigned Signing Agent, and track the progress of the job. Notaries and Signing Agents need a professional way to receive assignments, review job details, accept work, communicate securely, and get paid in a timely manner. No more Chasing Title Agencies for Checks!<\/em><\/strong><\/p>\n\n\n\n We built the Notary Ninjas platform around that exact workflow.<\/p>\n\n\n\n The system now allows Title Companies to register directly through our platform and request Remote Signing Services and Pre-Pay for that service to our Escrow Account. Once a Title Company submits a request, the job enters our internal admin and dispatch system. From there, the request can be reviewed, tracked, assigned, updated, and managed by our team.<\/p>\n\n\n\n The platform includes a dedicated Title Agency portal where companies can submit signing requests, include detailed instructions, upload related documents, and view the status of their requests. Instead of relying on scattered emails or informal messages, the signing request is handled through a structured workflow.<\/p>\n\n\n\n This is especially important because Title Companies often deal with sensitive legal, financial, identity, and real estate documents. Our goal was to create a system that keeps the process organized while also supporting a higher standard of privacy and compliance.<\/p>\n\n\n\n Notary Ninjas, LLC has placed strong emphasis on HIPAA-conscious, legal-compliance focused, and security-first design. While not every notary job involves medical information, the platform is being built with strict data-handling principles because notarial work may involve private records, legal documents, financial documents, estate documents, powers of attorney, loan documents, identity verification materials, and other sensitive information.<\/p>\n\n\n\n That is why our platform is designed to reduce unnecessary exposure of sensitive documents and limit the use of regular email for private document exchange. Instead, requests, documents, assignment details, job instructions, and communications are handled through the platform whenever possible.<\/p>\n\n\n\n One of the most important parts of the system is the Certified Signing Agent workflow.<\/p>\n\n\n\n When a notary registers with Notary Ninjas, LLC, they can indicate whether they are a Certified Signing Agent. If they are, the system allows them to submit additional credentials, including their SigningAgent.com profile link, E&O insurance information, policy limits, insurance expiration date, and background check expiration date. This gives our admin team a structured way to review, validate, and track Signing Agent credentials before routing Title Company work to them.<\/p>\n\n\n\n The system is also designed to track expiration dates and support renewal reminders, so credentials do not quietly become outdated. This is important for Title Company work because loan signing assignments require a higher level of documentation, insurance, and professional responsibility.<\/p>\n\n\n\n Once a Signing Agent is validated by admin, they can access Title Company signing opportunities through their notary dashboard.<\/p>\n\n\n\n We also built an open-call system.<\/p>\n\n\n\n For regular remote notary jobs, available notaries can view open remote jobs and accept them directly through their dashboard. This helps reduce delays because work does not always have to wait for manual one-to-one assignment.<\/p>\n\n\n\n For Title Company remote signing jobs, Certified Signing Agents can view available open-call signing assignments. They can review the request, see the fee offered to complete the job, read the instructions, and decide whether to accept the assignment.<\/p>\n\n\n\n If the Signing Agent cannot accept the job as listed, the system also supports a more professional workflow. They can decline the assignment with a required reason, or they can submit a negotiation request with a required message. This allows the Signing Agent to explain whether they need a different fee, a different time, additional documents, clarification, or other adjustments before accepting.<\/p>\n\n\n\n This is a major improvement over informal texting or email-based job assignment, where details can be missed, misunderstood, or lost.<\/p>\n\n\n\n We also built a secure messaging system between Title Companies and Signing Agents. Once a job is created and assigned, the parties can communicate through a job-specific message thread. That means messages stay connected to the signing request instead of being scattered across multiple email chains or phone calls.<\/p>\n\n\n\n This gives Title Companies, Signing Agents, dispatchers, and administrators a cleaner record of communication and a more professional workflow.<\/p>\n\n\n\n The dispatch side of the system was also built to support both Remote Notary requests and Title Agency requests. Dispatchers can view incoming jobs, review job details, see whether a notary is a Certified Signing Agent, and assign the appropriate person to the job. Certified Signing Agents are clearly marked in the dispatch workflow, making it easier to assign Title Company work to properly credentialed professionals.<\/p>\n\n\n\n We also built an admin system where Notary Ninjas can manage users, review notaries, review Title Companies, manage dispatch accounts, track signing requests, update job statuses, and control email templates. This gives the business more control over communications while keeping the workflow consistent.<\/p>\n\n\n\n The platform is not only about assigning jobs. It is about creating a real infrastructure for remote signing work.<\/p>\n\n\n\n Title Companies are already registering in the system for Remote Signings, and we are continuing to improve the platform as more companies and Signing Agents begin using it.<\/p>\n\n\n\n Our future plan is to route payments through Notary Ninjas, LLC using an escrow-style process so that Signing Agents can get paid faster in days. Not weeks or months:<\/strong><\/p>\n\n\n\n Under the planned prepaid model, the Title Company would prepay the signing fee into an escrow account. Once the job is completed and confirmed, the fee would be automatically released to the Notary Signing Agent. This approach is designed to help Signing Agents get paid much faster and with fewer delays.<\/p>\n\n\n\n Payment release may be handled through ACH or Zelle, depending on the final payment workflow and request of the Signing Agent.<\/p>\n\n\n\n There will be a small processing fee associated with the prepaid escrow option. We are still calculating the exact amount, but our goal is to keep the fee minimal, no more than approximately 5 to 6 percent.<\/p>\n\n\n\n We understand that some Signing Agents may still prefer to request payment directly from the Title Company. For that reason, we plan to support both options:<\/p>\n\n\n\n Title Company prepays the fee into escrow through Notary Ninjas, LLC, and the NSA gets paid faster after completion.<\/p>\n\n\n\n Or the Signing Agent requests payment directly from the Title Company under the agreed terms.<\/p>\n\n\n\n The prepaid escrow approach is the better option for many Signing Agents because it creates a faster, more predictable payment process.
