This Privacy Policy explains how Brooklyn Notary Ninjas may collect, use, store, and protect information submitted through our website, contact forms, appointment requests, and service inquiries.

Strict no-sale and no-sharing policy

We maintain a strict policy against selling, renting, or trading your personal information. We do not sell client data, appointment details, notarization-related information, or website-submitted information to marketers, data brokers, or outside advertisers.

We also do not casually share notarial record information. Any limited disclosure will be made only when reasonably necessary to provide the requested service, operate our website and communications systems, process payments, comply with applicable law, or respond to a lawful request connected to our legal duties as a notary public.

Notarial record keeping and New York law

Some records are kept because New York notary law and regulations require record keeping. New York Executive Law Section 135-c governs electronic notarization, and New York's notary regulations in 19 NYCRR Part 182 require notaries to maintain records sufficient to document compliance with notarial duties. Those regulations also require that notarial records be retained for at least ten years.

In plain English, that means certain information connected to a notarization may need to be kept as part of the official business record of the notarial act. These records are not kept for marketing. They are kept for compliance, record retention, and protection of the integrity of the notarial process.

Ten-year retention explained

Under 19 NYCRR 182.9, records maintained by a New York notary public under that Part must be retained for at least ten years. The same regulatory framework also requires audio-video recordings used for electronic notarizations to be maintained for at least ten years, subject to the applicable rules. In addition, the regulations require secure storage safeguards, including password protection or other secure means of access when records are stored through a third party.

We interpret and apply that obligation conservatively. Where record retention is required, we retain those records for the legally required period and limit access to what is reasonably necessary for compliance, operations, and lawful requests.

Privacy of notarial information

Our policy is to keep notarial and appointment information private and to use it only for legitimate service, business, and legal-compliance purposes. We do not use notarial record information for unrelated marketing campaigns, and we do not disclose such information except where needed to fulfill the requested service, maintain lawful business operations, or comply with a legal, regulatory, or official obligation.

Please note that New York regulations also state that notarial records must be capable of being produced to the Secretary of State and others as necessary in relation to the performance of the notary public's obligations. For that reason, while we treat your information as private and protected, records may still need to be produced when required by law or regulatory duty.

What we do not promise

Website submissions alone do not create a client relationship, guarantee appointment availability, or guarantee that a document can be notarized, apostilled, or otherwise processed. Final service availability depends on the document type, identification requirements, scheduling, and applicable rules.

Sharing information

Outside of the strict limitations described above, we do not sell or broadly share your personal information. Information may be shared only as reasonably necessary to operate the website, communicate with you, process scheduling, coordinate service-related functions, work with payment processors, or comply with applicable legal obligations.

Data security

We take reasonable steps to protect submitted information, but no website, email system, or internet transmission is guaranteed to be fully secure. Please avoid sending unnecessary highly sensitive information through general website forms unless specifically requested through a secure process.
