Future prepaid escrow-style payment option
Notary Ninjas, LLC is building a payment workflow through our own backend payment system powered by the Stripe API. The goal is to let Title Companies prepay the signing fee at the time a Remote Signing Service request is created, then have our backend automation track the job and release payment to the Notary Signing Agent after completion is confirmed.
How the Stripe powered escrow workflow would work
When the Title Company submits a signing request, the platform would calculate the offered notary fee and any applicable processing charge. The Title Company would then pay through a secure Stripe checkout or payment form. Stripe would handle the card or bank payment processing, while the Notary Ninjas backend would record the transaction, connect it to the specific signing request, and track the funds in an internal escrow-style ledger.
Once the job is accepted, completed, and marked confirmed by the appropriate party, the backend automation would move the request into a release queue. From there, payment can be released to the Notary Signing Agent through the approved payout method, such as ACH or Zelle, depending on the final operational setup.
Stripe processes the Title Company payment through a secure payment flow connected to the signing request.
The payment record is tied to the Title Company, assignment, Signing Agent, offered fee, and request status.
Backend automation can hold the release until the signing is marked completed and confirmed.

Backend automation for payment management
The planned payment system will use backend automation to reduce manual follow-up and make payment status easier to track.
- Create a payment record when a Title Company submits a request.
- Listen for Stripe webhook confirmations after payment succeeds or fails.
- Mark the signing fee as prepaid once the payment clears.
- Prevent accidental release until the job is completed and confirmed.
- Notify admin, dispatch, the Title Company, and the NSA when payment status changes.
- Maintain admin controls for exceptions, disputes, refunds, and manual review.
The prepaid approach is designed to help the NSA get paid much faster because the fee is already collected before the work is completed.
The expected processing fee will be kept minimal and is currently projected to be no more than approximately 5 to 6 percent. We also plan to offer an alternative option where the Signing Agent may request payment directly from the Title Company.
