Terms of Service

These terms apply to Notary Ninjas, LLC services, including remote online notary sessions, mobile notary appointments, apostille support, document translation, notary practice tests, dashboard tools, certificates, invoices, uploads, and related website services.

Important Notice

We provide notarial services, appointment coordination, document workflow tools, and educational resources. We do not provide legal advice, legal representation, immigration advice, tax advice, financial advice, or official government exam services.

Please read these Terms of Service carefully. By visiting the website, creating an account, registering through the dashboard, uploading a document, requesting an appointment, purchasing a service, paying an invoice, using a quiz, generating a certificate, using a roommate agreement tool, or checking an acceptance box, you agree to these terms and acknowledge that you have reviewed our Privacy Policy.

Remote Notary

Only $15 per remote notarial act for eligible documents, compared with many platforms that charge $25 per act.

Document Translation

Document translation workflow is $3 per uploaded page unless a written quote says otherwise.

Unified Dashboard

One dashboard account may be used for remote notary scheduling, invoices, certificates, practice tests, translations, and other services.

1. Agreement to These Terms

These Terms of Service are a binding agreement between you and Notary Ninjas, LLC, including Brooklyn Notary Ninjas and related website services operated under the Notary Ninjas name. The terms apply to all visitors, customers, registered users, business account users, quiz users, translation users, remote notary users, mobile notary customers, apostille customers, and anyone who submits information through the website.

If you do not agree with these terms, do not use the website, dashboard, appointment tools, document upload tools, payment tools, quizzes, certificates, or services.

2. Services Covered

These terms cover all services offered on or through the website, whether purchased online, requested by phone, requested by email, requested in person, requested through a dashboard, or requested through an appointment form. Services may include:

  • Remote online notary appointment requests and remote notarial acts.
  • Mobile notary appointments, in-person notary appointments, and walk-in or by-appointment notary services.
  • Apostille support, apostille quote requests, document handling, mailing, shipping, courier coordination, and administrative assistance related to apostille requests.
  • Document translation workflow, translation affidavit preparation, print-ready translation pages, and notary-ready translation affidavit packages.
  • Notary practice tests, quiz portals, leaderboards, certificates, study tools, educational explanations, and state-specific quiz content.
  • Loan signing support, NNA NSA related signing appointment coordination, and signing agent services where accepted and available.
  • I-9 Authorized Representative assistance where available and permitted by the requesting employer or platform.
  • Immigration form support only as non-legal administrative help, when offered. We do not provide immigration legal advice.
  • Marriage officiant appointment requests, ceremony coordination, elopement support, vow renewal support, and related appointment services where available.
  • Roommate agreement generators, landlord or housing related document generators, business account tools, client dashboard tools, invoices, certificates, and profile tools.
  • Birthday list, contact list, customer profile, business account profile, notification routing, and other internal customer-management tools.
  • White-label tools, advertising opportunities, franchise or business opportunity inquiries, and any other site feature that links to or references these terms.

Some services may be unavailable in certain places, for certain documents, for certain customers, or at certain times. We may accept, reject, pause, cancel, or limit any service request where appropriate.

We are not your lawyer. A notary public is not an attorney merely because the notary is commissioned. Nothing on this website, in the dashboard, in any email, in any generated form, in any translation package, in any quiz explanation, or during any appointment is legal advice unless a separate written attorney-client agreement exists with a licensed attorney.

We do not provide legal opinions, legal strategy, document-selection advice, court-filing advice, immigration advice, tax advice, financial advice, real estate legal advice, family law advice, housing law advice, or representation in any matter. You are responsible for deciding whether a document is appropriate for your purpose and whether you need advice from an attorney, accountant, tax professional, financial advisor, immigration attorney, real estate professional, or other licensed professional.

Digital tools on this website may generate general information, drafts, examples, templates, explanations, or checklists. Those materials are not legal advice and are not a substitute for professional review.

4. Fees, Pricing, and Service Charges

Fees may be listed on the website, shown in the dashboard, stated on an invoice, shown at checkout, quoted by admin, quoted by email, or agreed in writing. Prices may change at any time before payment or confirmation. Taxes, payment processing fees, shipping, mailing, government fees, platform fees, travel fees, rush fees, after-hours fees, and third-party charges may be added where applicable.

Notary Practice Tests Free, paid, promotional, subscription, or one-time pricing may be shown in the applicable quiz portal or checkout page. Practice tools are educational only and are not official state exams.
Roommate Agreement Generator Free, paid, promotional, or invoice-based pricing may be shown in the dashboard or checkout page. Generated forms are templates only and are not legal advice.
Loan Signing, I-9, Marriage Officiant, Business, or Custom Services Quoted individually unless a fixed price is published for that service. Availability, eligibility, travel, platform requirements, and third-party requirements may apply.

Published prices are not a guarantee that every document, signer, appointment, or job qualifies for that price. If the job is more complex than originally described, if additional signers or notarial acts are needed, if the appointment location changes, if the documents require extra handling, or if additional work is requested, additional fees may apply.

5. Remote Notary Service

Our remote notary service is intended to be a lower-cost remote notarization option at only $15 per remote notarial act for eligible documents, compared with many remote notary platforms that charge $25 per act. A remote notarial act is a separate notarial certificate or notarization performed during a remote online notary session. Multiple signatures, multiple documents, multiple certificates, multiple signers, witnesses, identity issues, or special handling may require additional fees or separate sessions.

Remote online notarization is not available for every document, every signer, every state, every country, every receiving agency, or every use case. We may decline or cancel a remote notary session if we believe the document is not eligible, the signer cannot be identified, the signer appears unwilling or unaware, the signer is under duress, the technology does not work, the signer does not meet identity-verification requirements, the document is incomplete, the receiving party may not accept remote notarization, or the session would violate applicable rules or notary standards.

  • You must create or use a dashboard account when required for scheduling.
  • You must provide accurate contact information, appointment details, signer information, and document details.
  • You may be required to upload the document that needs to be notarized before the session can be reviewed or scheduled.
  • You must not sign the document before the notary instructs you to sign, unless the notary confirms that a previously signed document can be handled for the requested notarial act.
  • You must appear personally before the remote notary by the required audio-video method.
  • You must provide acceptable identification and complete any required knowledge-based authentication, credential analysis, or identity checks where required.
  • You are responsible for confirming with the receiving party that remote notarization is acceptable for your document.
  • Submitting a preferred appointment time does not create a confirmed appointment until we confirm it.
  • Uploaded files and appointment details may be emailed to the dedicated remote notary signing notification address configured by admin for scheduling and document review.

Remote notary appointment requests may be confirmed, declined, rescheduled, canceled, or held for more information. We do not guarantee same-day availability, exact appointment times, session completion, receiving-party acceptance, or successful completion of identity verification.

6. Mobile and In-Person Notary Service

Mobile and in-person notary services may be available by appointment. Fees may include the permitted notarial fee, travel fee, convenience fee, waiting time, parking, tolls, printing, scanning, shipping, after-hours charge, rush charge, or other quoted service charges where permitted. If the notary arrives and the signer is unavailable, lacks acceptable identification, refuses to sign, is not aware or willing, has incomplete documents, or the appointment cannot proceed for reasons outside our control, a travel, cancellation, or appointment fee may still be due.

We may refuse a notarization if identification, willingness, awareness, document completeness, journal requirements, venue requirements, certificate wording, or other notary requirements are not satisfied.

7. Apostille Support and Document Authentication

Apostille support may include reviewing the type of document, providing a quote, coordinating notarization if needed, helping prepare the document for submission, arranging mail or courier service, and assisting with state, county, federal, or other document-authentication procedures where available. Apostille and authentication requirements depend on the document type, issuing authority, destination country, timing, and government office rules.

  • We do not guarantee that any government office, consulate, agency, school, employer, foreign authority, or third party will accept a document.
  • Government fees, county fees, federal fees, shipping fees, courier fees, rejected-document fees, translation fees, notary fees, and third-party fees may be separate from our service fee.
  • Processing times are estimates only. Government delays, holidays, rejections, mailing delays, courier delays, office closures, and document defects may affect timing.
  • You are responsible for providing accurate destination-country information and confirming requirements with the receiving party when necessary.

8. Document Translation and Translation Affidavit Service

The document translation service allows users to upload a document, pay the applicable fee, receive a machine-assisted or workflow-assisted draft translation, review the translation, and generate a notary-ready affidavit package when available. The current website pricing is $3 per uploaded page unless a written quote or admin-approved price states otherwise.

  • OpenAI and automation are tools. AI may generate an initial machine-assisted draft translation, extraction, structure, formatting, or summary. AI does not swear to the affidavit, verify the source document, appear before a notary, or act as the translator of record.
  • Human review is required. The person signing any affidavit must review the source document, review the translated text, make corrections, confirm accuracy, state their language competency, and accept responsibility for the final translation.
  • No guarantee of acceptance. We do not guarantee that a court, agency, school, consulate, employer, lender, immigration office, government office, or third party will accept a translation, affidavit, certificate, or notarization.
  • Legibility matters. Poor scans, handwriting, cropped pages, missing pages, stamps, seals, unusual formatting, foreign legal terms, abbreviations, and low-quality images may cause errors or delays.
  • Page count. Page count may be detected automatically or reviewed by admin. Unusual files, images, combined files, blank pages, duplicate pages, or unreadable pages may require manual adjustment.
  • Corrections. Reasonable corrections may be handled at admin discretion. A new file, new language pair, new document, substantial rewrite, or new job may require a new payment.

9. Notary Practice Tests, Certificates, Leaderboards, and Rewards

Notary practice tests, state quiz portals, certificates, scores, leaderboards, explanations, and study content are educational tools only. They are not official New York, Louisiana, Pennsylvania, California, or any other state notary examinations. They are not created, endorsed, approved, sponsored, administered, or guaranteed by any state licensing agency, court, county clerk, secretary of state, or government office unless expressly stated in writing.

Practice results do not guarantee exam success, notary commission approval, state approval, legal compliance, certification, employment, or the ability to perform notarial acts. You remain responsible for reviewing official state handbooks, application instructions, exam rules, fee schedules, identification rules, commissioning requirements, and renewal requirements.

From time to time, we may offer promotional rewards, reimbursements, discounts, scholarships, certificates, leaderboard recognition, or fee assistance. These are discretionary promotions, not guaranteed compensation, wages, prize entitlements, or promises that every user will receive money or benefits. We may require identity verification, account verification, proof of exam registration, proof of fee payment, proof of eligibility, or other reasonable documentation before issuing any reward. Fraud, duplicate accounts, manipulated scores, automated quiz activity, abusive conduct, chargebacks, or violation of these terms may result in disqualification.

10. Dashboard Accounts, Unified Registration, and Business Accounts

The dashboard registration is a unified account system for accessing services such as remote notary scheduling, document uploads, invoices, practice tests, certificates, document translation, apostille assistance, roommate agreement tools, profile tools, and other services that may be added later. You agree to provide accurate information and keep it current.

  • You are responsible for your username, password, account security, and all activity under your account.
  • If you register as a business account, you must provide accurate business name, business address, phone, email, website, and related business information.
  • We may use dashboard profile information to route service requests, prepare invoices, schedule appointments, send confirmations, generate certificates, or contact you about services.
  • Anyone who registers may be added to the customer profile list, birthday list, service list, or notification list used to manage customer communications, subject to the Privacy Policy and applicable opt-out rights.
  • We may suspend, restrict, or terminate accounts for fraud, chargebacks, abusive activity, security concerns, false information, duplicate misuse, illegal activity, or violation of these terms.

11. Roommate Agreement Generator and Form Tools

The Roommate Agreement Generator and related landlord, tenant, housing, or business form tools create draft templates based on user input. They do not provide legal advice, do not create an attorney-client relationship, and do not guarantee enforceability. Housing laws, rent rules, lease obligations, building rules, local ordinances, rent stabilization, security deposit rules, subletting rules, succession rights, domestic relationships, government benefits, and individual facts may affect the rights and duties of roommates, tenants, landlords, occupants, guarantors, and businesses.

You should have any agreement reviewed by an attorney before relying on it, especially where money, lease rights, eviction risk, security deposits, regulated housing, rent stabilization, subletting, succession rights, domestic relationships, protected classes, or government benefits are involved.

12. AI, Automation, and User Review

Some services may use OpenAI, automated extraction, page counting, OCR, templates, scripts, database tools, document generators, or other software to generate text, translations, summaries, affidavits, certificates, forms, appointment messages, pricing estimates, or other outputs. AI and automation can make mistakes, omit information, misread documents, misunderstand handwriting, mistranslate terms, miscount pages, or produce text that requires human correction.

You agree to review all generated outputs before using, signing, notarizing, filing, sending, printing, submitting, or relying on them. You are responsible for confirming accuracy, completeness, suitability, and acceptance by the receiving party.

13. User Content, Uploaded Documents, and File Handling

You represent that you have the right to upload, submit, translate, process, notarize, or use the documents and information you provide. You agree not to upload unlawful content, malware, stolen documents, forged documents, documents you have no right to use, confidential documents you are not authorized to share, or content that violates another person's rights.

Uploaded files may be stored temporarily, reviewed by staff, processed by software, emailed internally to the appropriate notification address, attached to service emails, shared with service providers as needed to complete a requested service, or deleted according to site workflow, admin action, or retention practices. You should not upload documents unless you are comfortable with the processing described in these terms and the Privacy Policy.

We may reject, delete, quarantine, suspend, or refuse service for any upload that appears improper, unsafe, unlawful, abusive, fraudulent, infected, unreadable, incomplete, outside the scope of service, or otherwise inappropriate.

14. Payments, Invoices, Stripe, Klarna, Zelle, and Third-Party Processors

Payments may be processed through Stripe, Klarna, card networks, Zelle, banks, payment links, invoices, or other payment processors. Third-party processors may apply their own terms, privacy policies, underwriting rules, identity checks, holds, declines, fees, chargeback procedures, installment rules, and dispute processes. We do not control third-party payment approvals or financing decisions.

You agree to provide accurate billing information and pay all fees owed. If a payment fails, is reversed, is disputed, is charged back, is suspected to be fraudulent, or is not manually verified when required, we may pause work, cancel appointments, suspend account access, withhold downloads, remove credits, disable certificates, or require another payment method.

15. Refunds, Cancellations, No-Shows, and Chargebacks

Refunds are not automatic. Because many services involve time-sensitive scheduling, document review, digital processing, third-party costs, staff time, payment fees, government fees, courier fees, software costs, or downloadable outputs, refunds may be limited once work begins.

  • Remote notary: Refunds may be denied or reduced if the session was prepared, reviewed, started, missed, canceled late, or failed because the signer lacked ID, failed identity verification, had technology problems, signed too early, uploaded the wrong document, provided incomplete information, or used an ineligible document.
  • Mobile notary: Travel, waiting time, cancellation, no-show, parking, toll, printing, and appointment fees may be non-refundable once the notary is dispatched or time is reserved.
  • Apostille: Government fees, courier fees, shipping fees, county fees, federal fees, third-party fees, and work already performed may be non-refundable.
  • Translation: Refunds may be denied or reduced once the document is uploaded, page counted, processed, translated, reviewed, corrected, or made available for download.
  • Practice tests and digital tools: Refunds may be denied once access is granted, a quiz is taken, a certificate is generated, or a digital output is created.

Admin may approve refunds, credits, reprocessing, corrections, or rescheduling at its discretion. Chargebacks, disputed payments, payment abuse, or false dispute claims may result in account suspension, collection activity, cancellation of pending services, and loss of access to downloadable files or dashboard features.

16. Appointment Scheduling, Availability, and Timing

Appointment requests are not confirmed until accepted by us. Preferred dates and times are requests only. We may confirm, decline, reschedule, cancel, or request more information. Same-day appointments, after-hours appointments, mobile appointments, remote notary sessions, apostille timelines, and document turnaround times are not guaranteed unless confirmed in writing.

You must be prepared at the appointment time, have required identification, have complete unsigned documents unless otherwise instructed, have all required signers and witnesses present if needed, have working technology for remote sessions, and respond promptly to questions. Delays may result in cancellation, rescheduling, waiting-time fees, or additional charges.

17. Identity, Signer Capacity, Willingness, and Fraud Prevention

Notaries must be satisfied as to identity and other notarial requirements before performing a notarial act. We may refuse or stop a service if there are concerns about identity, willingness, awareness, capacity, coercion, fraud, incomplete documents, suspicious documents, altered documents, missing pages, improper certificates, or receiving-party acceptance.

You agree not to impersonate another person, pressure another signer, submit forged documents, alter notarial certificates, bypass identity checks, use stolen payment information, create duplicate accounts to evade fees, or use the website or services for fraud or illegal activity.

18. I-9, Immigration Form, and Administrative Assistance Limits

If I-9 Authorized Representative assistance is offered, our role is limited to the task requested by the employer, platform, or authorized party. We do not decide employment eligibility, immigration status, document validity beyond the requested administrative task, or legal compliance for the employer or employee.

If immigration form help is offered, it is limited to non-legal administrative support where permitted. We do not provide immigration legal advice, select immigration benefits for you, tell you what legal status to seek, advise you on immigration strategy, or represent you before any agency.

19. Loan Signing and Real Estate Signing Services

Loan signing and real estate signing services are limited to signing-agent and notarial functions. We do not explain loan terms as legal or financial advice, negotiate loan terms, provide title advice, provide mortgage advice, provide real estate legal advice, or decide whether you should sign. Questions about loan terms, settlement figures, funding, title, rescission, taxes, escrow, insurance, or legal obligations should be directed to your lender, title company, escrow officer, attorney, or other responsible professional.

20. Third-Party Platforms, Links, and Receiving Parties

The website may link to or rely on third-party services, including payment processors, remote online notary platforms, video tools, shipping carriers, government offices, map tools, email providers, cloud providers, OpenAI, analytics providers, or other service providers. Third-party services may have their own terms, privacy policies, fees, outages, acceptance rules, and technical requirements. We are not responsible for third-party delays, outages, denials, rejections, errors, fees, or policy changes.

21. Privacy Policy and Communications

Your use of the site is also governed by our Privacy Policy. Before uploading documents or using paid services, you should review that policy. It explains how information may be collected, used, processed, stored, shared with service providers, or deleted.

By creating an account, submitting a form, requesting a service, or purchasing a service, you authorize us to contact you by email, phone, SMS, dashboard notice, or other reasonable methods about your account, appointments, invoices, documents, services, support, birthday list, promotions, or administrative notices. Message and data rates may apply. You may request to stop non-essential marketing messages, but we may still send transactional or service-related messages.

22. Acceptable Use

You may not interfere with the website, bypass payment, exploit bugs, scrape private content, overload the system, reverse engineer private code, attack the site, upload malicious files, use automated quiz-taking tools, manipulate scores, impersonate others, harass staff, submit false information, use stolen payment methods, use the services for fraud, or violate any law or third-party rights. We may block access, suspend accounts, cancel services, remove content, or report unlawful activity where appropriate.

23. Intellectual Property

The website, brand names, logos, design, text, templates, quizzes, explanations, software, workflows, page layouts, certificates, and service materials are owned by or licensed to Notary Ninjas, LLC unless otherwise stated. You may use outputs generated for your own personal or business purpose, subject to payment and these terms, but you may not copy, resell, scrape, clone, redistribute, or commercially exploit the website, quizzes, templates, software, or service workflows without written permission.

24. No Guarantee of Results

We do not guarantee document acceptance, agency acceptance, court acceptance, school acceptance, consulate acceptance, foreign authority acceptance, apostille approval, remote session completion, identity verification success, notary commission approval, exam success, quiz score improvement, legal enforceability, appointment availability, exact processing time, uninterrupted site availability, email deliverability, payment approval, shipping timing, or any specific result from a service or digital tool.

25. Disclaimers

The website, services, digital tools, documents, generated outputs, and educational materials are provided on an "as is" and "as available" basis to the fullest extent allowed by law. We disclaim all warranties not expressly stated in writing, including implied warranties of merchantability, fitness for a particular purpose, title, non-infringement, accuracy, availability, and acceptance by any third party.

26. Limitation of Liability

To the fullest extent allowed by law, Notary Ninjas, LLC, its owners, staff, contractors, notaries, affiliates, vendors, and service providers are not liable for indirect, incidental, special, consequential, exemplary, or punitive damages, lost profits, lost opportunities, rejected documents, missed deadlines, exam failure, legal consequences, business interruption, data loss, third-party platform issues, shipping delays, government delays, payment disputes, or receiving-party rejection arising from or related to use of the website or services.

To the fullest extent allowed by law, our total liability for any claim related to a paid service is limited to the amount you paid to us for the specific service giving rise to the claim.

27. Indemnification

You agree to defend, indemnify, and hold harmless Notary Ninjas, LLC, its owners, staff, contractors, notaries, affiliates, vendors, and service providers from claims, damages, losses, costs, fees, penalties, liabilities, and expenses, including reasonable attorney fees, arising from your use of the website or services, your uploaded documents, your false or incomplete information, your violation of these terms, your violation of law, your payment disputes, your misuse of generated outputs, or your violation of another person's rights.

28. Changes to Services and Terms

We may update services, pricing, policies, workflows, availability, dashboards, features, and these terms from time to time. The effective date or version may change when the terms are revised. Continued use of the website or services after updates means you accept the updated terms. For some paid upload workflows, the version accepted may be stored with the job record.

29. Governing Law, Venue, and Dispute Handling

Unless a different written agreement applies, these terms are governed by the laws of the State of New York, without regard to conflict-of-law principles. Any dispute that cannot be resolved informally shall be brought in a court of competent jurisdiction located in New York, unless applicable law requires a different forum.

Before filing a claim, you agree to contact us and give us a reasonable opportunity to investigate and attempt to resolve the issue informally.
