Closing support built around your transaction

An experienced signing professional, without the unnecessary travel.

Real estate transactions involve multiple parties, tight deadlines, identity verification and detailed instructions. Remote online notarization (RON) can simplify the document-signing stage when the transaction qualifies. Notary Ninjas works with Certified Signing Agents to help borrowers and property owners execute their documents through a coordinated signing appointment.

Our role is document execution and permitted notarization. Your lender, attorney, title company or escrow team still administers the actual closing, determines acceptable documents and handles funding and recording.

What our coordination covers

Agent matching with relevant signing credentials and permitted notarial authority.
Scheduling, signer readiness and instructions from the title or lending team.
Remote identification and electronic notarization when legally authorized.
Completion checks and secure return instructions for the signing package.

Specialty real estate documents

Step-by-step process

How a remote real estate signing works

Our process is designed to reduce surprises at the signing table. These steps occur before, during and after an approved appointment.

01 / INITIATE

Send the request & transaction information

Provide the settlement or title company, property state and county, preferred date, transaction type, signer count and contact information. Include a closing deadline and any instructions from the ordering party.

02 / VERIFY

Confirm that RON is authorized and accepted

Before an appointment is promised, the responsible lender, settlement team or attorney must approve remote execution, the notary's jurisdiction, document format, receiving party and any recording requirements.

03 / PREPARE

Review package logistics and assign an agent

We coordinate with an available Certified Signing Agent who meets the assignment requirements. The originating professional supplies final documents, any approved signing script and directions for completed-document delivery.

04 / READY

Check devices, identification and signers

Each participant prepares acceptable identification, a reliable internet connection, a camera and microphone. Where applicable, the approved platform performs identity proofing or credential analysis before the session.

05 / EXECUTE

Attend the live signing session

During the two-way audio-video meeting, the Signing Agent presents the documents and identifies signature, initial and date locations. The authorized notary completes acknowledgments, jurats or other permitted notarial acts as required.

06 / CHECK

Complete document and notarial review

The applicable signing workflow checks for missing fields and required notarial certificates. Notarial records and recording obligations are maintained by the responsible notary or provider under governing law and platform requirements.

07 / RETURN

Deliver completed documents as instructed

The completed package is provided to the authorized receiving party using its designated secure electronic workflow, or a compliant paper / hybrid process if required. The title or settlement company handles recording and disbursement.

BEFORE WE BEGIN

We do not assume every closing is RON eligible

If a lender, investor, title underwriter or recording office rejects online execution, we identify the limitation and can discuss an alternative in-person or hybrid signing when available.

The right format for the right documents

Remote, hybrid or in-person: choosing the permitted process

Not every electronic signature counts as a notarization, and not every signed PDF is acceptable to a title company or county recorder. The closing parties choose the format that meets the requirements of the transaction.

Signing modelWhat happensWhen it may fit
Fully remote RONAuthorized electronic signatures and a live remote notarial appearance using an eligible platform. The package, lender, state, title underwriter and receiving authority all permit it.
Hybrid closingEligible documents are signed electronically; specified instruments are signed or notarized in person.A package contains a mixture of e-signable and wet-ink or in-person requirements.
In-person / mobile signingThe signer appears physically before a properly commissioned notary or Signing Agent.RON is unavailable or disallowed, or the participants prefer an in-person option.
Important acceptance rule: Approval by one participant is not enough. Electronic signatures, remote notarization, recordability and funding requirements may be separate questions. Always obtain confirmation from the responsible lender, title company, attorney and/or recorder before scheduling.
For lenders, title agencies & attorneys

A signing resource for your closing pipeline

We understand the importance of exact package instructions, appointment coordination, on-time signatures and prompt completed-document handling. Engage Notary Ninjas for the signing stage while retaining control of the transaction and legal settlement workflow.

Communicate lender, title and underwriter conditions before assignment.
Identify documents that need witnesses, acknowledgments or jurats.
Confirm signer location, capacity, scheduling and special instructions.
Specify delivery requirements, completion contacts and escalation pathways.
The Certified Signing Agent's role

Professional document presentation. Impartial notarization.

A Signing Agent helps keep complex document packages organized and directs signers to the correct signature and initial fields. The agent performs a notarial act only when authorized by their commission and the governing law.

Identity and capacity checks required by the governing notarial rules.
Attention to signatures, dates, initials and instructed document routing.
Neutral presentation, without legal, tax, financial or lending advice.

Certification or training is distinct from a state notary commission; the assigned professional must also possess any required state authorization to perform the particular remote notarial act.

Preparation checklist

What you need before the remote signing

A little preparation helps protect the closing schedule and reduces avoidable delays.

For borrowers, sellers & other signers

Have a valid, acceptable government-issued photo ID ready; the platform may require additional verification.
Use a private, well-lit location and a supported camera / microphone device with a strong internet connection.
Confirm the spelling of your name, the number of signers and the physical location of each participant.
Read your documents in advance and direct substantive legal or financial questions to your lender or attorney before signing.

For title, lender & settlement teams

Approve the remote notarization method, notary jurisdiction, and signing platform before booking.
Supply the correct final package and any witness, signer-capacity, compliance or title requirements.
Specify any eNote, eRecording, wet-ink, papering-out or hybrid requirements.
Provide an escalation contact and approved delivery instructions for completed documents.

For privacy, send loan documents and identification only through approved secure intake or signing channels. Do not include identification numbers or financial account information in an ordinary contact message.

Privacy, compliance and records

Security and document integrity matter

When a signing uses RON, the commissioned electronic notary must follow their jurisdiction's rules for real-time communication, identification, electronic signature and seal, recordkeeping, and audio-video recording. The electronic document may use tamper-evident technology, with delivery requirements set by the approved platform and receiving party.

In New York, an electronic notary must be registered for electronic acts and physically present in New York during the notarization. The NY Department of State explains the identity-proofing and long-term recordkeeping requirements. Other jurisdictions have different rules.

Essential checks before scheduling

Notary authority: correct commission, registration and location.
Document acceptability: lender, title underwriter and recorder approval.
Platform controls: legally compliant identity verification, signing and record retention.
Return method: secure electronic package or instructed alternative.

Frequently asked questions

Questions about remote real estate signings?

The answer often depends on your state, lender, document package and title company requirements. Here are the essentials.

Contact our team
What is a remote real estate closing or signing?

It is a document-execution appointment conducted online when the applicable documents, lender or title company, notary jurisdiction, and receiving or recording authority permit electronic signatures and remote online notarization (RON). The lender, title company, escrow agent, or closing attorney still controls the underlying real estate settlement.

Are your signings handled by Certified Signing Agents?

Yes. We coordinate remote real estate signing requests with Certified Signing Agents, subject to availability, individual qualifications, jurisdictional authority, and the instructions of the hiring title company or lender. We verify the assignment requirements before confirming an agent.

Can the buyer, seller, or borrower be in another state?

Often yes, but not automatically. The notary must act within the authority of the state that commissioned the notary, and the signer’s location, real property location, document type, lender rules, and local acceptance requirements all matter. For New York electronic notarization, the electronic notary must be physically in New York when performing the act.

Can every mortgage, deed, or closing package be signed online?

No. Some lenders, title underwriters, attorneys, investors, or recording offices require wet-ink originals or a hybrid closing. We confirm RON eligibility and the accepted delivery format with the parties responsible for the transaction before scheduling.

How is the signer’s identity verified?

The authorized notary follows the applicable rules, which may include review of government identification, credential analysis, identity proofing, or other legally permitted identification procedures. The appointment uses a live two-way audio-video session when RON is performed.

What documents are typically included?

Depending on the transaction, a lender or settlement package can contain a mortgage or deed of trust, note, closing disclosure, settlement statements, occupancy affidavits, signature affidavits, powers of attorney, and other lender- or title-prepared documents. Only documents requiring a notarial act are notarized.

What happens if I have questions about my interest rate, closing costs, or legal obligations?

The Signing Agent can identify documents and point out where signatures, initials, and dates belong, but cannot interpret the contract, explain loan terms, give tax advice, or act as your attorney. Questions about the transaction are referred to the lender, title or settlement agent, or your attorney.

How are completed documents returned?

The completed electronic package is returned through the approved platform or another delivery method designated by the ordering party. The title company or lender determines whether electronic originals, certified paper copies, or wet-ink originals are needed for funding or recording.

Can several signers attend from different locations?

Potentially. Multi-party RON depends on the platform, identity-verification requirements, state laws, available notaries, and the closing instructions. Tell us the signer count and locations before confirmation so the appointment can be planned correctly.

How much does a remote real estate signing cost?

Real estate signing packages are quoted according to the assignment, number and type of documents and notarial acts, number of signers, coordination requirements, and any approved platform or ancillary fees. An ordinary single-document remote notarization price is not a quote for a complete loan closing.

Do you replace the title company, escrow agent, or closing attorney?

No. Notary Ninjas provides the signing and authorized notarization component. The lender, title or escrow team, settlement company, and any required attorney remain responsible for the transaction, disbursements, title matters, and legal advice.

What if remote notarization is not accepted for my transaction?

We can discuss a compliant alternative, such as a hybrid or in-person mobile signing, where available. No electronic notarization or remote closing should proceed until the transaction’s responsible parties confirm it is acceptable.

Ready to plan your signing?

Make the signing stage simpler.

Start a remote notary request and select Real Estate Document in the existing booking form. For an entire closing package, include your title company, transaction type, signer count and deadline in the instructions so we can confirm scope, availability, acceptance and a package-specific quote.

Service scope: Notary Ninjas, LLC is a notarial and signing-services provider, not a substitute for a licensed attorney, real estate broker, lender, settlement or escrow company. Certified Signing Agent availability and individual qualifications are confirmed for each assignment. Remote notarization is not permitted or accepted for every document, state or transaction. Prices for full real estate signing packages are quoted separately; no appointment or transaction outcome is guaranteed until confirmed.
